With the help of the implemented ERP solution, the largest pharmaceutical company in Bulgaria optimized its manufacturing, automated and accelerated the warehousing processes and achieved complete control over its budgeting and calculation of the full production cost.

Actavis Bulgaria is part of the global Actavis Inc. – an international pharmaceutical company focused on developing, manufacturing and commercializing branded pharmaceuticals, generic and over-the-counter (OTC) medicines, and biologic products.

Actavis Bulgaria is the largest pharmaceutical company in the country and a market leader. The company has a versatile product portfolio, which includes over 290 high-quality generic pharmaceutical products as well as many OTC medicaments, nutritional supplements and vitamins.

The company’s specifics and the need to optimize its business processes, determined the decision of implementing an ERP business management solution.

Scope of the project:

1. Implementation of an inventory management system

The optimization of Actavis Bulgaria’s inventory management was one of the project’s main challenges. The implemented solution manages all inflows and outflows and all in-store operations, as well as automates all warehouse activities (including automatic redistribution of tasks upon uneven staff workload), management of different storage areas (including quarantine areas, areas with specific storage requirements, etc.) and full tracking and management of consignments and containers.

After the implementation of the ERP software, the following benefits were achieved:

  • Minimized time for processing large volumes of stocks, thanks to the high degree of automation achieved through the use of hand-held terminals (mobile devices)
  • Evenly distribution of workload between warehouse employees and optimization of the route maps of storage activities;
  • Minimized paper documentation due to the validation of the inventory management system according to the requirements of Ordinance 12 of the Medicine act (traceability of stocks)
  • Optimized use of storage space by implementation of a system for prioritization of storage and expedition of stocks

 

2. Budgeting of expenses and calculation of a full planed production costs

The ERP system allows for the allocation of the indirect production and non-production costs by customer-defined key points. The latter can be used to automatically calculate ratios based on production times, machines and working stations, output, direct costs, etc.

Team VISION Bulgaria managed to successfully fulfill the client’s requirements and enable them to calculate full production costs for current and future periods. The results are as follows:

3. Integration of Microsoft Dynamics NAV with PASSX – a production processes management system

The implementation provides a two-ways connection between the two systems which enables the exchange of data regarding production schedules, nomenclature, technical routes, recipes, etc., as well as information regarding movements of stocks and raw materials to and from the production workshops.

The direct benefits of this integration are:

  • Full quality assurance and protection from errors in the production of pharmaceuticals;
  • Ability to generate production schedules based on information from the ERP system;
  • Reduction of time for manual work of specialists responsible for weighing;
  • A single nomenclature used by both PASSX and MS Dynamics NAV and automatic synchronization between the two systems;
  • Real data of consumption of materials by production orders
